We built MyEventPrep to help you feel more prepared for your events. That means keeping your information safe and being clear about how we use it.

This privacy policy explains what information we collect, why we collect it, and how you can manage your data.

What information we collect

Information you give us directly

When you create an account and use MyEventPrep, we collect:

  • Your name and email address
  • Business information (business name, type, city, state/province, postal code, and country)
  • Event details you enter (event names, dates, locations, notes)
  • Inventory and pricing information you track
  • Any other details you choose to add to prepare for your events

Information from services you connect

If you choose to connect your Square account to MyEventPrep, we collect your product list and product-level sales totals from Square to help you plan better for future events. This connection is completely optional and only happens if you set it up. Importing sales data is done manually, per event and does not include any customer information.

Technical information

Like most websites, we automatically collect some technical information when you use MyEventPrep:

  • How you interact with the site (which features you use, when you log in)
  • Your IP address and browser type
  • Device information and approximate location (city/region level, not precise location)

We use Google Analytics to understand how people use MyEventPrep so we can make it better. Google Analytics collects this technical information on our behalf.

How we use your information

We use your information to:

  • Provide MyEventPrep's features and keep your account running
  • Send you important updates about the service (like if something isn't working)
  • Respond when you contact us for help
  • Improve MyEventPrep based on how it's being used
  • Process payments through Stripe
  • Send you our newsletter (only if you opt in)

That's it. We don't use your data for advertising, we don't sell it, and we don't share it with anyone except the services listed below that help us run MyEventPrep.

Who we share your information with

We use trusted third-party services to run MyEventPrep. Your data is shared with these services only as needed:

  • Supabase – Stores your account and event data securely
  • Stripe – Processes payments (they never see your event or inventory details)
  • Brevo – Sends service emails and newsletters (only if you're subscribed)
  • Google Analytics – Helps us understand how MyEventPrep is used
  • Vercel – Hosts the MyEventPrep website
  • Square – If you connect your Square account, we pull in your sales data to show in MyEventPrep

Each of these services has their own privacy policies and security practices. We've chosen them because they take privacy seriously.

We will never sell, rent, or trade your personal information to anyone.

How we protect your information

We take security seriously:

  • Your data is stored securely with Supabase, which uses encryption and industry-standard security practices
  • Payment information goes directly to Stripe and is never stored on our servers
  • We use secure connections (HTTPS) across the entire site
  • Account authentication is handled through Supabase's secure system

No system is 100% secure, but we do everything we can to protect your information.

How long we keep your information

We keep your personal information only as long as it's needed to provide MyEventPrep and fulfill the purposes described in this policy.

In practice, that means:

  • Active accounts: We keep your account, event, inventory, and business data while your account is active so you can continue using MyEventPrep.
  • Inactive accounts: If your account is inactive, we’ll keep your data for up to three months. We’ll send you a reminder email after 60 days of inactivity, and another notice shortly before your account and data are scheduled for deletion.
  • Deleted accounts: When you ask us to delete your account, we permanently remove your event data, inventory, and business information from our systems.
  • Legal and financial records: We may retain limited records (such as payment and transaction history) as required by law for tax, accounting, or compliance purposes.
  • Backups and logs: Copies of your data may remain in encrypted backups or system logs for a limited period before being fully deleted as part of our normal backup rotation.

We do not keep personal information longer than necessary, and we do not retain data "just in case."

Your rights and choices

Newsletter emails

If you sign up for our newsletter, you can unsubscribe anytime using the link at the bottom of any newsletter email.

You'll still receive important service updates (like password resets or account notifications), but we'll only send those when necessary.

Accessing and updating your information

You can update most of your information directly in your MyEventPrep account settings.

Deleting your data

If you want to delete your account and all associated data, contact us at privacy@myeventprep.com and we'll take care of it promptly.

When you delete your account:

  • All your event data, inventory, and business information is permanently removed
  • We'll keep basic transaction records as required by law (for tax and accounting purposes)
  • Your email will be removed from our newsletter list

Do Not Track

We respect Do Not Track signals. We do not intentionally use analytics tools to track users who have enabled Do Not Track signals, where supported

Cookies and tracking

MyEventPrep uses cookies to:

  • Keep you logged in
  • Remember your preferences
  • Understand how the site is used (through Google Analytics)

You can disable cookies in your browser settings, but some features of MyEventPrep may not work properly without them.

Children's privacy

MyEventPrep is not intended for anyone under 13 years old. We don't knowingly collect information from children under 13. If we learn that we have, we'll delete it immediately.

International data transfers

MyEventPrep is based in Canada, but our service providers (like Supabase and Stripe) may store data in other countries, including the United States. By using MyEventPrep, you consent to your information being transferred and processed in these locations.

These providers all follow strong privacy and security standards, regardless of where data is stored.

Changes to this policy

We may update this privacy policy from time to time. If we make significant changes, we'll let you know via email or a notice in MyEventPrep before the changes take effect.

The "Last updated" date at the top will always reflect when changes were made.

Canadian privacy laws

As a Canadian business, we follow Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

You have the right to:

  • Know what personal information we have about you
  • Request corrections to your information
  • Withdraw consent for certain uses of your data
  • File a complaint with the Office of the Privacy Commissioner of Canada

Additional rights for users in certain regions

Depending on where you live, you may have additional privacy rights under laws like the European Union's General Data Protection Regulation (GDPR).

These rights may include the ability to:

  • Request access to the personal information we have about you
  • Ask us to correct inaccurate or incomplete information
  • Request that we delete your personal information
  • Object to or restrict certain ways we use your information
  • Withdraw your consent where processing is based on consent (such as newsletters)
  • Request a copy of your personal information in a commonly used format, where applicable

We process personal information only when we have a valid reason to do so, such as:

  • To provide MyEventPrep and its features
  • With your consent (for example, optional emails or integrations)
  • To comply with legal obligations
  • To improve MyEventPrep in ways that respect your privacy
